This Privacy Policy explains how Witcrew collects, uses, stores, and protects personal data when your organisation uses the platform. We take the responsibility of handling people's data seriously.
1. Who we are
Witcrew is an HR management platform operated by Native Wit Technologies ("Witcrew", "we", "us"). This policy explains how we handle personal data when your organisation uses the Service. For most employee data, your employer is the data controller and Witcrew is the data processor acting on their instructions.
2. Data we collect
We collect data your organisation enters into the platform — employee profiles, attendance records, leave requests, documents, and related HR information. We also collect limited technical data (device, browser, IP address, and usage logs) to operate and secure the Service.
3. How we use data
We use data solely to provide and improve the Service: powering HR workflows, generating reports, sending notifications, securing accounts, and providing support. We do not sell personal data, and we do not use employee data to train third-party models.
4. Legal basis
We process personal data to perform our contract with your organisation, to comply with legal obligations, and in our legitimate interest to secure and improve the Service. Where required, your organisation is responsible for obtaining any necessary employee consent.
5. Data storage & security
Data is encrypted in transit and at rest, and access is controlled by role-based permissions. Every change is recorded in an audit trail. We host on secure cloud infrastructure; Enterprise customers may request specific data residency arrangements.
6. Data sharing
We share data only with sub-processors necessary to run the Service (such as hosting and email delivery providers), all bound by confidentiality and data-protection obligations. We may disclose data where required by law.
7. Data retention
We retain data for as long as your organisation maintains an active account. On termination, data is available for export for 30 days, after which it is permanently and securely deleted unless a longer period is required by law.
8. Your rights
Depending on your jurisdiction, individuals may have rights to access, correct, export, or delete their personal data. As most data is controlled by your employer, please direct such requests to your HR team; we will support them in fulfilling valid requests.
9. Changes to this policy
We may update this policy from time to time. We will notify your organisation of material changes via email or in-platform notification before they take effect.
